We were looking into a way to use the Master plan potentially with subprojects across multiple teams who work with different types of projects. Each team has their own WBS which is at different levels. We wanted to easily be able to put these in a format which we could link the tasks. And maybe just roll up a milestone from one project to the next.

Would it be easiest to use it as a predecessor? Will they be able to link to multiple projects at the same time? Excellent questions, my friend! To accomplish what you want to do, you will need to create a master project and insert each of the projects as subprojects of this master project.

If you are using resources in your projects, I would also strongly recommend you create a shared resource pool file if you are not using Project Server Otherwise, you will see the names of your resources duplicated in the master project. To create the cross-project links, open the master project and expand all of the subprojects.

Select a predecessor task in one project, press and hold the Control key, select the successor task in another project, and then click the Link Tasks button in your Task ribbon. Repeat this for every set of cross-project links you want to set and then save and close the master project.

When you open one of the subprojects, you will see gray “ghost tasks” that represent the external tasks linked to tasks in the open project. But, you are right! Nothing changed here! We are a small startup with a similar situation…however we need 2 PMs to be able to access the projects and have a bit more portfoliio visibility.

Also we have external resources we need to collaborate in compartmentalized manner with in their own portal site or limited restricted projects site.
